OK, I found out what the deal with the park was. It could not be booked as it turns out that that weekend will have 300 to 400 boy scouts camping. It is by far the largest group they have had and needed most of the camping areas. So area 11,12 & 13 plus most of the others are booked for them. I was told that even if I was first to request the spots the Boy scouts have priority and would have gotten the spots. I requested areas 22,23 & 24 for that weekend and they will let me know on Monday if they will be available. If not the following weekend might be the thing to do… thoughts?

I just got a call from the parks department. ALL the campsites that are located on the ends away from the middle are being used by the boy scouts. That leaves us with the highly visable camping spots in the middle. I think we need to postpone the event till the following weekend.

I seem to recall that this actually happened to us once before. It was a while back, probably my 1st or 2nd term as Chieftain, and I believe we postponed the event to the 2nd or 3rd week of May.

Any word from the park yet? Do we need to start considering alternate venues? I know some of us need advance notice to get weekends off, and I have things coming up for the kids which require RSVP's soon so any news would be appreciated.

At this point Jenn and I will not be making it to the event if its held the last weekend in May. This has taken too long and we've made other plans.

I totally understand though - if we hadn't heard by this week we would have had to cancel as well. We actually have to maintain linked web calendars to keep track of all the stuff going on all the time. Lots of stuff requires RSVP in advance, or permission forms, or cash in advance, not to mention the fact I have to schedule time off from work a few weeks in advance or risk being told no. As it is we won't be able to be on site the whole time! We will miss you guys.
I was at the park last weekend and there was indeed a Jamboree going on. Not local kids - they were from Huntington and Elmont, but they had practically every site up until the back area (none of our sites were in use). I can understand why they wouldn't want others camping there though with all the little guys running back and forth.

I guess that is their big jamboree weekend. I'd rather postpone the event if it is going to be boy scout central. Sites 22-24 are right next to the RV's - we may scare them. Are "our" sites available the following weekend?

Here's a link to the map showing the camping sites. I think moving the weekend might be a better idea - the place will be trashed.
As the guy who volunteered to hump the hoses, I'm all for camping in the middle of the field (where the water spigot is) ;)

Although I'm something of a "City"-phobe I will try to make it down if I can.
Since I gather that you hold your Spring Gathering at a state? city? park, what sort things are allowed at "your site"? I'm particularly interested in fire restrictions, weapons (the real kind - bows, spears, edged swords), the gathering of fire wood and ground fires.

I am also pretty much available any time in May. However, Saturday May 17th I will most likely have to do a few hours in the late afternoon/early evening at our PTA booth at the district music and arts showcase day. We are hoping to do some fundraising that day and if we do, I need to be on hand to close it out.

I was thinking instead of pushing it back could the weekend be brought forward into the last weekend of April(4-25-4-27) and if so would the spots in Cathedral be available then?

Fionnuala made a good point last night, that with three of us losing our fathers in recent months it would probably be best if we didn't have the event Mother's Day weekend so Eberwulf, Fiachra and I could spend that time with our mothers. Then the event wouldn't interfere with Vollunds travel plans either. Another thought is that while one week earlier probably means it will be a little colder, hopefully that will translate into fewer people in the park.

My vote goes for April 25-27 if that's possible. It might be a little colder, but Vollund might be able to make it and it doesn't conflict with mother's day (which might be a rough one this year for a couple of us). The sooner we decide the sooner I can put in for the time off on Thu and Fri (hint hint)

Perhaps it is heresy to suggest we arrange to hold Beltaine during the week? Possibly more of us would have to take off work for something like that, but I thought I would mention it anyway. I don't know how the park folks would feel about that, but there would certainly be a lot less competition for the sites :)
